Call for Exhibit Proposals

The fet11 Exhibition intends to demonstrate the potential, the diversity and the importance of foundational long term research in future ICT. It aims to present a mix of impressive achievements as well as early stage results, ideas and prototypes. It should illustrate the wide variety of disciplines, technologies and domains involved in future and emerging information technologies to a target audience that brings together a broad set of scientific communities, key policy makers as well as industrial and societal stakeholders on an international basis.
This call is open to any organisation involved in long term research in future and emerging information technologies. This includes universities, research institutes, non-profit organisations, public authorities and private companies, including small and medium sized high-tech enterprises.
The exhibition will be a key element of the conference and will be set up for the three days of the conference.
This call concerns proposals that can demonstrate the transformative potential of foundational research. They may either exhibit 'exploratory research in progress' based on preliminary results and ideas or final research achievements.
Exhibits should:
- present conceptual elements as well as concrete results and demonstrations from recent R&D work. They should be of interest to a wide audience of specialists from multiple disciplines as well as to non specialists (e.g. journalists);
- contain strong visual aspects and, if possible, allow hands-on experiences for visitors. They should be based on objects, artefacts and applied technologies which can largely tell their own story;
- be attractive and captivating, not based purely on poster and screen display. Posters should only be used as eye-catchers, with textual content minimised. Videos are encouraged. Availability of physical prototypes, interactivity and originality will be taken into consideration for selection.
Selection Criteria
Exhibit proposals were assessed on the basis of the following criteria:

Does the exhibit look attractive? Is the content clear and of relevance to the audience? Does it efficiently illustrate the foundational research work and its potential transformative impact? How easy is it to understand what is going on? What is the level of interactivity? How exciting will be the 'visitor experience'? What is original in the proposed exhibit? |

The selection Committee will choose a sample among the best proposals, taking into account the need to ensure a good coverage of various experiences and of scientific fields.
Logistics
The following will be available free of charge to successful applicants:
- the space allocated to your exhibit;
- walls and construction elements;
- some furniture (1 brochure rack, 1 lockable cupboard, 1 demonstration table and 2 chairs);
- technical arrangements and infrastructure (LAN, bandwidth needed, electrical power, lighting, etc)
- Internet access [To be specified]
- up to 2 free admissions to the fet11 conference, including lunches and receptions;
- 1 printed poster A0 format
- 1 PC Screen
The following items are NOT provided and the costs must be borne by the applicant:
- Equipment costs (e.g. PCs, rental of equipment if needed ...). You have to bring your own equipment.
- Transportation costs for equipment.
- Travel and accommodation costs for personnel. Note that stands must be manned continuously during the three days of the exhibition and allow time to setup the stand beforehand.
- Insurance costs.

Applicants were notified of the outcome of the selection via email by 15th February 2011.
The three best exhibitions will be awarded prizes during the closing session of the conference.
